BID MANAGER

Job Purpose/Mission/Summary:

The Lexmark Bid Manager (BM) role is a crucial component of the business proposal response process. The BM manages the creation of winning quality proposal responses for Lexmark’s enterprise customers by utilizing corporate information databases and sales support personnel. The BM also supports other proposal development activities by interfacing with sales leads in need of customized marketing materials.

*Must be willing to work nights. Rest days: Saturdays and Sundays.

Key Roles & Responsibilities:

  • The Lexmark Bid Manager is responsible for project-managing the development of proposals from the moment the project is assigned up to the submission of the final documents. The BM may also be expected to work on ad hoc post-RFP requests.
  • The Lexmark Bid Manager:
    • Reviews Requests for Proposals (RFPs), or other proposal-related projects, Cebu Business Park, Cebu City to understand and note project goals, customer requirements, preparation and submission instructions, qualitative questionnaire(s), forms and appendices/addenda, and communicates findings and observations with the sales teams.
    • Initiates the creation of a proposal project plan and coordinates with sales leads on the development of response timelines; identifies the key members required to respond to a client proposal.
    • Maintains master document, solicits material from sales team, and sends drafts out to the sales team from time to time until completion (managing version control).
    • Works with North America (NA) and Europe, Middle East &Africa (EMEA) sales and operational teams to develop individualized plans for executing Lexmark services for clients; coordinates with Subject Matter Experts from other internal organizations such as Legal, Research & Development, Marketing, Human Resources, etc. to gather information required for proposal responses.
    • Facilitates internal proposal reviews and ensures submitted proposals are compliant with corporate directives, and drives the internal approval process prior to submission.
    • Demonstrates high competency in copyediting and proofreading proposals to eliminate typos, grammatical errors and formatting issues before submission to the client.
    • Creates and formats the final version of the RFP response in accordance with client instructions.
    • Endorses trending client requirements and new information in support of content development.

Competencies, Skills, Knowledge & Abilities:

  • Excellent time management, project management, communication, and coordination skills are required to be successful.
  • In addition, the Bid Manager will need to quickly develop a thorough knowledge of Lexmark’s offerings and capabilities and be able to guide sales teams in both strategic and tactical conversations regarding the preparation of business proposals.
  • The BM should have a very keen eye for detail and must be very proactive, resourceful and must possess a very strong sense of ownership of assigned projects and the entire proposal process.

Education, Experience & Certifications Basic Requirements:

  • Willing to work night shift to support US and/or CAN business hours
  • Bachelor's degree or higher; preferably in Business, Communication or Journalism
  • At least 2-3 years of relevant working experience
  • Strong English communication skills (written and oral)
  • Strong Project Management Skills
  • Experience in copy editing and technical/business writing is preferred
  • Some experience in layout/art direction is a plus
  • Proficient in Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Adobe Acrobat
  • Experience in copy editing and technical/business writing is preferred
