EXECUTIVE ASSISTANT

Job Summary:

The executive assistant provides personal administrative support and assistance to executive staff (LRDC (Lexmark Research and Development Corporation) President, CCC (Cebu Competence Center) General Manager).  The Executive Assistant helps the executive(s) for tasks such as scheduling, reviewing, prioritizing, and responding to emails; answering and returning phone calls; organizing documents, maintaining records; taking notes at meetings; preparing presentations and any other tasks that help executive(s) perform their job.

Duties and Responsibilities:

  • Manage scheduling for company executive(s), including making appointments and prioritizing the most sensitive matters.
  • Provide context in writing and editing emails, drafting memos, and preparing communications and presentations on behalf of company executive(s).
  • Collaborate and assist the PR (Public Relations) team for required initiatives.
  • Answer and respond to phone calls in a polite and professional manner and communicate messages and information to the executive.
  • Organize and prepare for meetings, including gathering documents and attending to coordination of meetings.
  • Maintain comprehensive and accurate records for company executive(s).
  • Maintain comprehensive and accurate records for company executive(s).
  • Performs minor accounting duties
    • Process liquidation of expenses incurred
    • Review TEAs submitted by executive(s) direct reports
    • Manage the re-allocation company web & international web insurance for required reimbursement
    • Manage the cellular plan for CCC, control & coordination
    • Process POs (purchase orders) for CCC common activities
  • Coordinate travel arrangements and welcoming of visitors. The EA identifies the purpose of their visit before directing them to the appropriate department.

Requirements and Qualifications:

  • Bachelor's degree in any course or any equivalent in education and/or experience.
  • Experience in supporting a senior executive or team.
  • Comprehensive computer skills including Microsoft office suite (Outlook, Word, Powerpoint).
  • Strong organizational and time management skills with the ability to multitask.
  • Trustworthy handling of sensitive and confidential information.
  • Excellent verbal and written communication skills.
  • Exhibits sound judgement, problem solving and decision making.
  • Resourceful, proactive, and self-directed.
  • Good interpersonal relationship skills.
