From tangled processing to comprehensive solution

In following this strategy, the company soon realized the need for such innovation within its own AP processing. Accounts payable departments were scattered across multiple business units and the company suffered from a disjointed AP process. The company needed a trusted, consolidated solution, so Time Warner Cable integrated all of its AP processing into a single shared services center in 2003.

Seamless integration

With a focus on capturing an optimal return on investment, the company reinforced its processes with ReadSoft’s OCR and data capture solution for AP a year later. With this solution in place, Time Warner Cable accelerated processing speeds, eliminated keystrokes and reduced headcount.

Results

Faster processing, better results

Emboldened by a growth spurt in innovation, Time Warner Cable increased AP processing speed with the AP automation solution, ReadSoft Invoices. Consolidating its AP function with one unified and highly automated process yielded compelling results only a year later—the system processed one million invoices, with 95% verified within the system.

Improving processing speed became more important with the company’s acquisition of Adelphia Communications operations in 2006.

“We upgraded to the latest version of ReadSoft’s Invoices and were able to process 40% additional Adelphia invoices while significantly reducing manual labor,” says Reichard.

With additional inventive solutions, such as increasing the use of P-cards at former Adelphia locations and consolidating the company’s billing with utilities, Time Warner Cable also was able to completely integrate and streamline additional Adelphia invoices in 2007.

Green workflow, higher volume capacity

With corporate responsibility woven into the fabric of daily activities, Time Warner Cable drew on its long-standing relationship with ReadSoft to pursue a green opportunity in 2008. Using the ReadSoft Invoices solution, the cable giant tracked utility charges at facilities and front-ends by capturing kilowatt-hours, (electricity costs for using 1,000 watts of electricity for one hour) without any human intervention. Reichard says automatic capture of KwH for specified utility accounts assists Time Warner Cable in its green processing initiative.

Minimizing manual handling maximizes efficiency

As a company freeing its customers from the constraints of distance and time with cutting-edge solutions, Time Warner Cable began to imagine the possibilities for time-saving strategies within its manual document handling. Aspiring to eliminate the need to copy, prep and scan documents, the company implemented ReadSoft Fax Mangager, which enabled high-volume and discount vendors to send images to specific, dedicated mailboxes at Time Warner Cable. This gave AP managers the ability to automatically extract data and process invoices from vendors electronically.
By receiving and processing travel and expense reports and receipts electronically rather than by paper records, the company expanded on the goals for innovative, eco-friendly measures within its AP department.

Looking forward and staying ahead

Today, the company continues to process more than one million invoices annually and saves over 35 million keystrokes per year by using the ReadSoft AP automation solution. In seeking to bring electronic processing to full capacity, the cable giant plans to continually upgrade to new releases and modules, leading to improved interpretation of invoices and continued success in a highly competitive media industry.
