TONER RECONCILIATION SPECIALIST

Job Summary:

The Toner Reconciliation Specialist is responsible for managing and reconciling billing and shipment reports related to MPS Agreements. This includes verifying billing information, ensuring accurate data upload, identifying and rectifying errors, and generating and comparing various reports. The specialist will also handle customer queries, collaborate with inter-dependent teams, and monitor invoice approval. They are also tasked with maintaining consistency in Toner Reconciliation Set-up as per the MPS Contract and resolving any customer or revenue-related issues.

Key Roles and Responsibilities:

  • Reconciliation of Billing and Shipment reports for MPS Agreements that require Toner Reconciliation Report.
  • Verification of Billing information
    • Charging invoices generated from SAP/Siebel in accordance with the Agreements Bill timing
    • Providing Bill Due invoices as stipulated in the customer contract
  • Verification of Shipments
    • Ensuring accurate uploading of Shipment and Billing report in UPS Uploader Tool.
  • Generation of Toner Rec Reports
    • Updating Toner Rec Country files and posting in ImageNow or Lotus Notes
    • Providing Toner Reconciliation Trend Analysis
  • Identification and rectification of errors, e.g. cartridges not uploaded or billing errors.
  • Accuracy Verification
    • Review Billed Usage Volume and Asset Count
    • Confirm Cartridge Numbers against Shipment Report
    • Identify any Errors: Absence of Toner Cartridge Contract, No Cartridge Cost Identified, Mapping Error
    • Ensuring that Toner Reconciliation Set-up is consistent with what is in the MPS Contract
  • Monitoring Invoice approval daily and ensuring Huddle Board (tracker) captures all status of TREC Calculation.
  • Collaborating with inter-dependent teams to complete Toner Reconciliation Calculation.
  • Resolving customer issues and revenue affecting issues pertaining to Toner Reconciliation through various channels.
  • Responding to customer queries received via email/chat/WWTT.

Education, Experience and Certifications Basic Requirements:

  • A bachelor’s degree in Industrial Engineering, Computer Engineering, Information Technology, or any related courses
  • Experience in working with worldwide teams, reporting, and/or data management is preferred but not required.
