JOB FUNCTION

Within the Service Operations department the Vendor Manager is responsible for implementing and managing the field service operations located in South Africa, Middle East, Africa mainly focusing on:

  • Provide operational support to the Sourcing Team regarding the selection of a new service provider in case of RFP/RFQ
  • Coordinate the implementation in Lexmark operations and tools of the new field service vendors / ramp-down of vendors with contract terminated
  • Monitoring the performance of the vendors and assure the compliance to the contract
  • Ensure the execution of the vendor’s payment on monthly basis for all the activities based on the contract requirements

 

 

ROLES, RESPONSIBILITIES AND AUTHORITY

1 - Vendor Management

  • Ensure contractor compliance with all the contractual requirements and elements
  • Weekly overall monitoring of the vendor’s activities putting in place an immediate action any time is needed
  • Coordinate monthly & quarterly operational reviews
  • Review key performance indicators with the Country Service Delivery Manager, Country Hardware Specialist, Work Order Management, Technical Support Centre, and Supply Chain to identify deviations, and ensure corrective action plans are built by Vendor and Lexmark. Monitor and assure the realization of these actions.
  • Run regular analysis in order to identity root causes, to prevent the decrease in performance or to avoid any critical situation or escalation.
  • Validate (and run whenever is needed) monthly payments through SAP and PO. Assure the quality of the amounts and the follow-up where needed
  • Track payment of invoices to break-fix vendor (for parts sales) and from service break-fix (for parts & labor) and Installation Partner for Installation Payments
  • Ensure that the defective parts and devices are returned to Lexmark
  • Manage escalations from Customer, Vendor, Country
  • Keep a strong control on the inventory of the vendors on parts and on devices
  • Ensure process or systems change requirements are implemented by partner in due time
  • Coordinate introduction of new products with partner: parts availability, technician training and documentation, etc.
  • Act as interface with partner for all matters: technical, process, systems, financial

2 – Procurement                                 

Actively participate with the Sourcing Team and the Country in the selection process (RFP/RFQ) of EMEA field break-fix vendors:

  • Being the voice of the Central requirements and of the day-to-day operations
  • Coordinating contract elaboration and ensure the correct on boarding/off boarding as break-fix vendor
  • Coordinate implementation of process documented by process design group
  • Build implementation / ramp-down plan, validate it with management and Country
  • Follow-up, monitor, assure the realization of the actions

3 – Other

  • The employee has the authority to perform tasks as per JD
  • The employee needs to follow the Quality and environmental policy where applicable
  • Employee should observe Lexmark’s policies.

EDUCATION & EXPERIENCE

  • BA/BS degree in Business or Engineering would be an advantage
  • Experience in Service companies and/or Service Delivery organization
  • Experience on similar products
  • Strong project management skills
  • Experience in purchasing and vendor management
  • A minimum of 5 years professional experience

 

 

SKILLS

  • Excellent in Excel analysis
  • Experience with Microsoft extended Suite:
    • Business Intelligence Reporting: Power BI
    • Collaborative Platform: Sharepoint
    • CRM: Dynamics & Siebel
    • Process RPS: Power Automate is a plus
  • Fluent in English & in another EMEA supported language
